Job Description: Office ManagerOur international client, is currently looking for an experienced fluent English speaker Office Manager for a permanent role based in Zurich. The potential candidate will report to the Vice President of Operations. Position Summary The Office Manager is responsible for the smooth and efficient working of both Zurich offices and oversees the reception at both locations. This person also works closely with facilities manager. This role requires a strong customer focus and ability to multitask. Responsibilities Manage Reception desk at main office and receptionist at other office. Greet visitors, provide badges, organize offices for them, escort them to meetings etc. Organize seating arrangements for new hires and book office space for visiting Executives from other locations. Answer telephone and maintain records. Book meeting rooms and organize lunches. Organize incoming and outgoing post. Arrange lunch cover and holiday cover for both receptions. Conduct weekly office management meetings with Facilities Manager Train receptionists and reception cover. Twice yearly review for reception staff. Establish standards and procedures and implement office policies including security policy and safety policy. Maintain office equipment, coordinate servicing with vendors. Maintain office kitchen area. Support CEO by managing front desk while he is in town. Education/Certification Requirements: Fluent English speaker and good German skills. University degree preferred but not mandatory. Skills and Experience Prior experience managing Front Office and some exposure to facilities management. Experience in managing an office during renovations, dealing with subcontractors, ordering furniture etc. Experience in managing incoming invoices. Must have prior experience in a customer facing role. Has handled in the past an office move or an office renovation. Used to dealing with external vendors and subcontractors. Able to maintain poise and uses tact and diplomacy to resolve issues. Able to work long hours when needed. Familiar with handling petty cash and invoicing. Interested? Please apply online.
