"` Location: Atago Green Hills Mori Tower, 2-5-1 Atago, Minato-ku 105-6224 Tokyo, Japan Report to: Managing Director, Japan Essential duties&Responsibilities: - Maintain all office operations and functions – mail, phones, emails, calendars and appointments, contacts - Coordination with Headquarters in China - Assist in bookkeeping and payables - Travel planning - Supervise company logistic partner and co-ordinate for goods deliveries - Coordination with title companies, real estate agents, bank and accountants - Assist Sales & Marketing Department in event planning - Filing and file maintenance - Documents translation and meeting interpret Qualifications: - Strong organizational skills - Ability to work in informal setting / self motivated - Flexible with duties and willing to take on new responsibilities - General understanding of bookkeeping - General understanding of international logistics Key accountabilities: - Overall responsibility for the daily work of the regional operation: 1. To develop and improve the processes and regulations in respective region 2. Responsible for annual administrative budget, cost control and report to headquarters monthly 3. Monitoring the daily operation (eg: attendance, office security, travel, etc.) 4. To organize and plan the major domestic events and celebrations 5. Responsiable for office location, decoration, property, transportation 6. Select and manage the outsource suppliers (eg: green, phone/IT, express,etc.) 7. Coordinate with law firm, accounting firm and keep good relationship with local government - Regional human resources management: 1. To assist headquarters' HR arrange the regional interview and recruit new staff below level 3 2. Implement the new staff's register and orientation 3. Monthly payroll calculation and release approved by headquarters 4. Update and improve the local C&B system according to the company policy 5. Execute the group policy locally 6. To assist the headquarters HR department to complete others HR job (such as performance appraisal, training, etc.) - Support and facilitate local business operations: 1 .Support for goods transport and shipping arrangement, regional logistics warehouse management and coordination 2. Cooperation with regional law firm to review business contracts, and give professional advice - - Implement locally headquarter's Financial policy 1. Accounts Payable: control, checking monthly costs of office and other staff's expense 2. Accounts receivable: check and send bills to customers, regular payment status tracking, and report to headquarters 3. Periodic check the bank account, and report to headquarters 4. Handle customer credit insurance services, management of customer credit and other matters 5. Ensure the group accounting policy implementation in respective region, and coordination of other related accounting matters - Implement locally legal policy: 1. Liaison with notary agent 2. Liaison with local law firm 3.
