FORWARD JOB DESCRIPTION (FJD)/JOB SPECIFICATION
Main purpose of job:
 The Administrative Officer will provide day-to-day operational and administrative support to the DSO Office in India whose task is to provide support to Industry in company-led marketing campaigns involving the collection of market intelligence, formulation of export strategies and advice on market penetration startegies in order to help companies in the UK Defence and Security sectors succeed in the Indian market and expand the UK's market share. In particular the job-holder will assist in the overall smooth working of the office. He/she will be a key part of the small, busy team and will be the focus for UK participation in exhibitions and events in the Defence and Security sector as well as organising and managing inward visits programmes. In addition, the incumbent will act as the operational contact for key external stakeholders, managing the budget as well as organising and managing diaries.

·         Liaison with Indian officials, Trades Associations and commercial companies in order to manage UK participation in exhibitions and events.

·         Organise meetings, managing diary appointments, travel and accommodation for the team.

·         Leading on maintaining the office database of companies and contacts, which is a key tool for the office
·         Maintaining reports and spreadsheets on the section’s performance against management targets and budgets.
·         Assisting the office in organising events including hosting international delegations
·         Assisting in maintaining the office filing structure, saving and retrieving important documents and information
·         Managing and filing office bills, bank receipts/records and ensuring payments are made on time and are effectively recorded

·         Liaison with companies and providing initial advice, particularly to SMEs, regarding market opportunities in India

The Administrative Officer will be a locally engaged, British passport holder who will work closely with the Head of UKTI DSO (India). The role will involve access to and handling of classified information so the officer must have or be capable of acquiring a UK Developed Vetting security clearance.  In addition, the officer will have access to company commercial information concerning export campaigns so discretion is important. The job will involve interaction with VIPs and, from time to time, attendance at seminars, exhibitions and events and so good presentational skills are essential. The high volume work-load means that the job-holder must be well organised, able to act on their own initiative with the minimum of supervision and to deal efficiently and calmly with competing priorities and short deadlines. The job-holder must be a team player and since the administrative officer will be the first point of contact for external stakeholders, the job also includes an element of relationship building.

The UKTI DSO Office in India encourages and follows flexible working methods. Authorisation for flexible working will be subject to approval by line manager based on business and employee needs.

7.   Starting Salary: Between Rs. 25,298/- to Rs. 39,316/- per month (depending upon qualifications and experience of the candidate) with an additional 80% Responsibility Allowance and an additional allowance of 18%. The successful candidate will be provided with 21 days annual leave and in addition study, maternity/paternity and special leave in agreement with their line manager and taking into account the various business needs. Please note that applicants without a liability to pay Indian Income Tax will have their wages abated in line with HM Treasury guidelines.

The package entitles you to become a member of a medical benefits scheme that will include medical expenses and hospitalisation cover for self, partner and children, if you are a non diplomat spouse.
