"Our global energy client in downtown Houston needs a Senior Level Executive Assistant to support the work of the two Managing Directors, starting as a temporary position and working towards a permanent position. The ideal candidate will be a self-starter who is able to effectively manage and support two Managing Directors as well as the Houston office administrative duties. The individual should require little direction and have lots of initiative to achieve results. He or she will have a strong work ethic, commitment to clear goals and measureable outcomes, an ability to learn quickly and a practical sense. Reporting to the Managing Directors, the Executive Assistant will be responsible for maintaining their calendars, filings, day to day office operations, being the point person to outside senior level executives as well as sitting in on meetings, taking notes, and following through on action items. Responsibilities: � Maintain extensive calendar and contact data base for business and coordinate with calendars of other internal and external executives and companies � Schedule and contribute to meetings, conference calls and other events and coordinate/set-up logistics for the Managing Directors � Oversee all day to day operations of the Houston office (including for example making copies, ensuring the copy machine is working properly, filing, and completing of other administrative projects). � Ensure that all Managing Directors are prepared, organized and ready for all meetings and events (including reviewing advance information provided to the Managing Directors, and summarizing information for them) � Act as point of contact or representative for the Managing Directors, with other executives, CEO's, other corporations and organizations at designated activities or events � Be aware of organizational objectives and internal relationships in order to prioritize projects and anticipate needs of the Managing Directors � Handle travel arrangements and complex expense reports � Management of incoming calls and mail as well as ensuring the office is prepped and ready for arrival of investors and related functions � Support Managing Directors on various ad-hoc projects as required. � Serve as a liaison between Dallas corporate office and Houston office, including being point person for building management � Handle all mail � Maintain inventory of office supplies and maintenance of equipment � Exercise a high degree of confidentiality Qualifications: � Some college preferred but not required. � 5+ years of senior level executive assistant experience. � High standards for quality work. � High level of professionalism and integrity. � Comfortable (or Thrive) working independently and unattended in a quiet professional environment. � Able to handle stress and difficult situations with little or no direction. � High energy, positive, "can-do" attitude, flexible, team focused, detail oriented with a high degree of initiative. � Strong verbal, written and presentation skills. � Excellent interpersonal skills. � Strong computer skills and knowledge including proficient in MS Office.
